Private Client Administrator

About the Role
William Thomson and Sons are seeking a highly organised and discreet Private Client Assistant to join a Dundee-based family office supporting the personal, financial and trust affairs of a private family. This is an excellent opportunity for someone with a strong administrative background in private client work, ideally with exposure to tax, trusts, executry administration. The successful candidate will support the smooth running of day-to-day private client matters, assist with trust and tax administration, and liaise closely with professional advisers.
Key Responsibilities
· Provide high-quality administrative support across private client, tax and trust matters
· Maintain accurate and confidential records for trusts and personal client affairs
· Assist with trust administration, including collating information for trustee meetings and preparing schedules
· Support tax compliance processes by gathering information for personal, trust and estate tax reporting and monitoring deadlines
· Prepare payment instructions, expense summaries, cash schedules and supporting documentation for review
· Liaise with external professional advisers, including solicitors, accountants, and bankers
· Assist with HMRC-related administration, including correspondence, record keeping and trust registration support
· Manage diaries, meetings and sensitive correspondence on behalf of senior team member
· Support compliance processes including client on-boarding, anti-money laundering and client due diligence documentation
· Undertake ad hoc private client and family office projects with discretion and attention to detail
Candidate Profile
· Previous experience in a private client, legal, accountancy, trust administration or family office role
· Good understanding of private client administration, with exposure to trusts, executries, inheritance tax, personal tax or wealth planning
· Excellent organisational skills and the ability to manage multiple priorities accurately and calmly
· Strong written and verbal communication skills, with a professional and client-focused approach
· High level of discretion and integrity when handling confidential information
· Strong IT skills, including Microsoft Word, Excel and Outlook
· Knowledge of Scottish private client practice would be advantageous
· SOLAS, ATT or similar professional study experience would be beneficial, but is not essential
